Planning the Weekend: Timeline, Lodging & Guest Flow

Lodging & Arrival

  • Block the on-site cottages/rooms early so your guests don’t have to go off-site at odd hours.
  • Recommended arrival: the afternoon/evening of Day 1 (Friday) so guests settle in, mingle and acclimate.

Welcome / Rehearsal Dinner

  • Friday evening: informal welcome cocktails + rehearsal dinner (which could be in the Chef’s Garden or Pavilion).

Main Day (Ceremony + Reception)

  • Saturday morning: optional brunch or activity for early-arrivals.
  • Afternoon: ceremony roughly 3-4 pm, cocktail hour then reception into late evening.
  • Provide clear signage and transitions so guests know what’s happening without you explaining it 20 times.

Post-Reception & Late Night

  • After-party or lounge in a designated space (treehouse, pool area) for those still going.
  • Set end-time based on venue policy but allow for wind-down and transportation.

Farewell Brunch & Departure

  • Sunday midday: casual brunch, goodbyes, guest departures.
