This one trips people up all the time, and it makes sense. Both roles show up on your wedding day. Only one of them is there for everything that happens before it.

If you’re new here, welcome. We’re Well-Dressed Events, a full-service wedding planning team based in Jersey City, planning weddings across New Jersey, New York City and the Hudson Valley with equal parts style and substance.

What a Wedding Coordinator Does

A coordinator usually comes in four to six weeks before the wedding to close things out. Think of them as the project closer. A good one will:

  • Confirm final details with your vendors
  • Build the day-of timeline
  • Run the rehearsal
  • Keep the wedding day on schedule, cue vendors and handle the hiccups, from a missing boutonniere to a late shuttle

Helpful? Absolutely. But a coordinator executes a plan. They don’t build it.

What a Wedding Planner Does

A planner is with you from the beginning, or close to it. A full-service planner will:

  • Build your budget and tell you where the money is actually worth spending
  • Narrow down venues and vendors and bring you ready-to-book options, not a giant list
  • Review proposals and contracts before you sign anything
  • Set the creative direction so every vendor is designing toward the same wedding
  • Handle the logistics guests notice: hotel blocks, transportation, seating and flow
  • Run the wedding day, because they built the plan

A planner doesn’t just show up to run the day. They shape it.

Where the Wedding Day Fits In

This is the part that gets lost. When you hire a full-service planner, the wedding day is already included. You don’t need both. The day works because the same person has been managing the details all along. That’s the difference between someone reading your timeline for the first time the week of the wedding and someone who wrote it.

What About My Venue’s Coordinator?

Venue coordinators manage the venue. We manage you. They’re great at what they do, and we lean on them for things like reception timing and room layouts. But they aren’t looking at your budget, your vendor team or your family dynamics. Here’s how the two roles work together.

So Which Do You Need?

If your wedding is fully planned and you just need someone to run the day, a coordinator might be the move.

If you want strategy, vendor sourcing, budget guidance and someone thinking ten steps ahead from day one, you want a planner.

A Real Example: The Couple Who Thought They Needed a Coordinator

They reached out six months before the wedding looking for a day-of person. When we walked them through how many vendor decisions, rentals, logistics and timeline pieces were still in motion, it became clear what they actually needed was a planner. We took it from there.

Quick Answers

Is a coordinator the same as a day-of planner?

Pretty much. Most coordinators start four to six weeks out and focus on execution, not strategy.

Does Well-Dressed Events offer day-of coordination?

No. We only offer full-service planning, and the wedding day is where all of it pays off. Your lead planner and an assistant run the day, plus one additional wedding-week event like a welcome party or rehearsal dinner.

What if I don’t know where to start?

That’s exactly when to bring in a planner. Here’s when to hire one, and what to ask on the consult call.
